Check In

You will check in to the hotel via the hotel’s front desk. Photo ID is required at check-in.

After you have checked in, you may go up to your room to drop off your luggage OR stop by the Redstone check-in table to receive your swag and name badge. Amanda, Madison & Cassy will be manning this table and will be able to answer any questions you may have.

Packing List

This packing list is meant to represent the items you may need for this business conference. This is not an exhaustive list that represents every personal item you might want, so please be mindful that you will need to pack more than what is on this list.

Business Casual Attire

The entire conference dress code is business casual attire. Please make sure you bring enough clothes/outfits for Tuesday, Wednesday, and Thursday during the conference. (See below for examples/guidelines)

Semi-Formal Attire

This is for the Awards Gala on Thursday night. Semi-formal is something between business professional and black tie/formal. (See below for examples/guidelines)

Sleepwear

Don’t forget to bring something to sleep in.

Summit Pins

For those who have attended multiple Summits, don’t forget to bring previous years’ Summit pins!!!

Leisurewear (optional)

You’ll have some free/down time during the conference where you might want to change out of your business clothes, especially if you choose to do outdoor activities and such.

Activewear (optional)

There are many trails near the hotel if you want to explore!

Jacket

Utah is very cold this time of year! You may want to bring a jacket as we will not be giving this as a swag item this year. Temperatures are estimated to be in the 50’s during the day and drop to the 30’s at night.

Laptop + Charger

You will use your laptops for some of the breakout room training sessions but other than that, we will have a “limited use electronics policy” during the conference. There will be breaks if you’d like to check emails, check Entrata dashboard, etc. You will also be able to work at nights or in the mornings as needed.

Rain gear (optional)

Utah weather is famously unpredictable and even more so up in the mountains where we will be.

Personal Toiletries

The hotel provides the basic toiletries generally provided by hotels but please pack your own toiletries for other personal needs.

Reusable Water Bottle

We will have drink stations set up during the conference but it’s always good to have your own water bottle.

Headphones (optional)

In case you need to take phone calls and want to be able to do so hand-free, headphones will be super helpful.

Pen/Notebook (optional)

We will be providing you a notebook and pen for the conference but if you have another preferred way of taking notes, please bring that.

Gum/Mints (optional)

For the moments you want fresh breath, especially after a long flight or a meal. 10/10 dentists recommend taking steps to ensure fresh breath.

Lotion + Lip Balm (optional)

Depending on where you are traveling from, you might experience the effects of a very dry climate and want lotion and lip balm to keep your skin hydrated.

Games/Movies (optional)

You will have time to hang out and socialize with your teammates in the evenings if you choose.

Snacks (optional)

We will provide meals and snack breaks each day. If you’d like to bring more snacks or treats, feel free to bring your own.

Money (optional)

Anything you choose to do during your free time or anything outside of what is scheduled for the conference will be on your own dollar. (Example: if you wanted to go shopping down on Main Street or do an outdoor activity like mountain biking during free time)

Career Limiting Moves (CLMs)

During this company-sponsored event, we are excited to have fun and create memorable professional development moments together. It’s important to strike a balance between enjoying ourselves and upholding professional behavior throughout the week, in line with our core values.

Family Members & Friends

Family members and friends are not permitted to attend or to visit during the conference. This policy is in place to ensure the focus remains on professional development and team bonding.

Those who are interested in extending their stay over the weekend may do so (details below). Your loved ones are, of course, welcome to join you once the meeting concludes after Friday morning at 11 am.

Nursing Mothers & Childcare at Summit

Nursing mothers are welcome to bring their infants to Summit. The hotel will provide childcare services from 8:30 AM to 4:30 PM daily. Please note that nursing infants are not permitted in meetings but are welcome to join evening events after the childcare center has closed.

Childcare is available beginning at 6 weeks of age. Childcare is not provided for children who are not nursing.

Airport Instructions

Arrivals

  • For those of you who are arriving via plane, Taylor Roberts from the HR team will be there to greet you at the Salt Lake City airport with a Redstone sign. He will be waiting right outside the doors from the boarding gates before the baggage claim area. 
  • If anyone misses their connecting flight, please contact Taylor at (801) 367-1139 He will be tracking flights to make sure everyone arrives safely and is accounted for.
  • Taylor will organize your Uber for you from the airport to the hotel

Departures

  • You are responsible for keeping track of your flight times and ensuring that you are headed to the airport at your scheduled time. 
  • An Uber will be coordinated to pick you up at the scheduled time. If you need a wake-up call, please contact the front desk to schedule that call
  • As you are leaving, please be sure to stop at the front desk and let them know you are checking out.
  • Please ensure you travel to the airport with your assigned travel groups. Information regarding travel groups can be found in the email you received on Wednesday, October 11, 2023

Attire Guidelines

Tuesday: Feel free to dress casually while traveling. Change into business casual attire for the evening event.
Wednesday: Business casual all day
Thursday: Business casual until 5 p.m.
Change into semi formal attire for the awards gala dinner.
Friday: Casual attire suited for travel

Business Casual

Dress pants or skirt and a nice shirt, or a dress. (E.g. Slacks, blouses, blazers, sport coats, collared shirts, sweaters, dresses and skirts.) Please make sure length, neckline, fit, color/print, and sleeves are appropriate.

Semi-Formal

Dress as if you were going to visit the Queen!
E.g., suits with dress shirt and tie. Cocktail dresses or a dressy pant suit.

Hours Worked

For those who are hourly, this is your clock in/out schedule.
Tuesday: Travel time + evening event (6:00 – 8:30 p.m.) + any hours worked prior to Summit
Wednesday: 8 hours + any time worked after hours
Thursday: 8 hours + any time worked after hours
Friday: Travel time + any time worked after arriving home

Hours for the trade show and trainings (as indicated above) will be entered by HR. Any other hours worked must be clocked in and out as normal, including travel time.

Friday: Back to business as usual.

Any overtime must be approved ahead of time, as always

For those who are salaried, you will be paid 8 hours/day as normal

All team members are expected to work on Friday when they are not traveling.

Travel Reimbursements

For those who are driving to Summit, and for this event only, reimbursements for travel will be as follows:

IRS guidelines state that employees can have the company cover gas OR mileage. You will be reimbursed $0.65/mile for travel to and from the venue location if using a personal car. This is a one-time, one round trip reimbursement. 

For those using a rental car, please use your PEX/Divvy. If you do not have a company card, keep your gas receipts and enter the reimbursement form along with the receipts into Entrata.

Please complete a Mileage Reimbursement Form after returning from Summit (attached).

Onsite team members should submit their reimbursement form via Entrata so that it hits the travel GL code for your property.

Home Base team members should submit reimbursements via Divvy.

Bonuses

You (not your supervisor) will need to submit the bonuses you earn based on the awards you receive at the Awards Gala.

Bonuses will follow the normal workflow and payroll deadlines will be the same as normal, with the next deadline post-Summit being October 27th at 12 p.m. Mountain Time.

Bonuses are as outlined:
$1,000 for KPI Master

Manager of the Year & Maintenance Supervisor of the Year
$7,500 reimbursed vacation for Manager of the Year & Maintenance Supervisor of the Year. Vacation to be taken within 1 year of Summit 2023
All receipts + reimbursement form to be submitted to [email protected] for review. Will be reimbursed through accounting.

Timecard Deadline

Timecards for the period will be due the Friday that Summit concludes. Be sure to review and approve timecards prior to the 4p.m. deadline as normal!
Be extra cognizant of this deadline with the craziness of Summit and travel.

Check Out Time

Final Check out is at 11 a.m. on Friday, October 27th.

Team members must have all of their personal belongings packed and be out of their hotel room no later than 11 a.m, unless you have paid for an extension on your stay. Late checkout is not available for our group.

To check out, bring your keys to the front desk. This helps us to know who has left the hotel and who is remaining.

If you would like a wake up call, please touch base with the hotel’s front desk. Redstone will not be providing wake up calls 🙂
